Here's the situation every sports parent knows: registration fees are due months before the first game, and they're almost always non-refundable. Your organization isn't being difficult — those fees pay for field time, uniforms, and coaches whether or not your kid plays.
Registration Insurance is an optional policy you can add during checkout. If your player can't participate because of a covered reason — an injury, a serious illness, a job loss at home — you file a claim and get reimbursed up to 100% of your non-refundable fees, less any refund your organization already gave you. One policy covers one named participant, for one registration.
One plain-English note on “up to 100%”: if the covered reason happens before the season starts, you can be reimbursed up to the full non-refundable amount. If your player has to stop partway through, the reimbursement is pro-rated to the part of the season they couldn't use. We'd rather tell you now than surprise you later.

Open your registration in the Baseline app and tap “File a claim” on the green shield card (you can also start from your profile). Or go straight to customers.vicoverage.com and create a free account — use the same email where you received your Certificate of Insurance, and the portal will show your active policies with a link to begin your claim.
Tell them what happened.
The claim form asks for the basics: who the policy covers, what the covered reason is, and when it happened. That date matters — it’s your “date of loss,” and claims must be submitted within 90 days of it. Don’t wait for the season to officially end; start the claim as soon as you know your player can’t participate.
Attach your documents.
Upload proof of what you paid and proof of what happened (checklist below). The claim moves fastest when your documentation is complete on the first submission.
Get paid.
Once your proof of loss is accepted, claims are paid within 30 days, in US dollars. Remember: the reimbursement is your non-refundable registration cost (pro-rated if the season was partly played), minus any refund or credit you received or are entitled to receive — from the organization, a credit card issuer, another insurer, or your employer — up to the limit on your Certificate of Insurance.
